Okay, ladies. Today I want to give you a real peek into the backend of my business.
Systems are one of the main reasons I’ve been able to build a seven-figure online Christian business and work 5–15 hours a week without everything feeling chaotic behind the scenes.
If you’re building an online coaching business – whether you see yourself as a Christian Life Coach, a Christian Business Coach, or you’re just trying to figure out how to build a coaching business that actually grows, this is foundational.
So let’s talk about what actually matters.
Where Women Get Stuck When Scaling
What I see happen all the time is women trying to grow their business by just doing more. They’re creating more content and posting more, creating more offers, starting a podcast, and maybe even tweaking their niche again. It feels productive, but nothing is actually structured.
So every time they launch something, it feels brand new. There’s no documentation or repeatable process. It’s just effort.
And I said this in the episode, and I meant it:
“So much of when you’re scaling actually requires systems.”
If you want to hit six figures, you need systems. And if you want to hit seven figures, you absolutely need systems.
You might be able to hustle your way to your first $100K. But eventually, the lack of structure will catch up to you. You’ll feel overwhelmed and drop balls. You’ll start disappointing people, not because you don’t care, but because you don’t have infrastructure.
The First System I Ever Built
When I look back at the beginning of my online coaching business, the first real system I built was a launch system.
And that surprises some people, because they assume I started with content or branding or audience growth. I didn’t.
I built a launch system because if you have no clients, you have no money. It’s that simple.
I built that system through trial and error by investing in programs, extracting what worked, testing and refining it over time until it became clear, repeatable, and then documenting it.
Now I have a full launch board. I know what emails go out and what posts get created. I have reminders to update my offer, to check tech, to train my team before we go live.
The reason that matters is because I don’t start from scratch every time I open an offer. I’m not guessing or scrambling.

Why I Launch Before Obsessing Over Audience Growth
A lot of women spend years building an audience before they ever test their offer. They think they need the perfect following first.
I don’t believe that.
In the beginning, you usually have what I call a beta audience. People already in your world: Friends, church connections, and local relationships. You can test your launch system with that group.
Eventually, though, you run out of that initial pool, and will have to refill the pond. That’s when lead generation becomes critical.
The Second System: Lead Generation
If you sell something, you need an audience to sell to. That was the second system I focused on.
After my beta launch, I moved into Facebook ads. Not because organic growth doesn’t work, but because I had already built a business organically before. I knew how long it could take to gain traction. As a homeschool mom with three young kids, I wasn’t willing to wait years to see movement.
So I learned paid ads and began bringing new people into my world consistently.
Later, I strengthened the nurturing side by launching my podcast and creating weekly content. But I didn’t become extremely consistent with organic posting until I was confident in selling. I focused on learning how to sell first, and then I built content rhythms around that.
If you’re building a Christian coaching business, your lead generation needs to be a system, not just something you hope works.
The Third System: Client Onboarding
Once someone says yes to your offer, what happens next?
That question alone reveals whether you have a system or not.
Do they know how to get started? Do they know how to schedule calls? Are you tracking what you promised to deliver? Is there a clear process for you and for them?
You don’t need complicated software, but you do need documentation.
I said this in the episode: “Don’t just shoot from the hip. Don’t play it by ear.”
When your onboarding is clear, it protects your time, your integrity, and your client experience. And if you want to scale a Christian Life Coaching or Christian Business Coaching practice, you cannot rely on memory and good intentions.
The Fourth System: Sales
Your launch system creates momentum. Your sales system converts it.
And this is where many women feel uncomfortable.
Let’s say someone applies for your program. What happens next? Is there follow-up? Is there a conversation? Are you addressing objections? Or are you just hoping they complete the checkout?
I shared in the episode that when I was in the photography industry, so many photographers would respond to an inquiry one time. If they didn’t hear back, they assumed the person wasn’t interested.
But people are busy, emails get missed, and things fall through the cracks.
Follow-up isn’t pushy. It’s responsible.
Whether someone enrolls directly from a sales page or schedules a quick 15-minute call with me, there is a system behind it. That system is what allows me to consistently move people from interested to either enrolled or clearly not a fit.
If you’re serious about how to build a coaching business that actually converts, you need this piece documented.
The Fifth System: Daily Tasks
The last system is what I call a daily task system.
This is the part people resist because it feels boring, but it’s what keeps everything steady.
There are recurring activities in your business whether you acknowledge them or not. Things like responding to emails, following up with leads, tracking sales conversations, looking at metrics, and communicating with your team.
If those things aren’t documented and scheduled, you operate from chaos.
This is something I teach inside The Productivity Playbook, and we use it every single day as a team. It’s not complicated or fancy – but it keeps us aligned.
This is how I’ve been able to maintain working 5–15 hours a week. The systems carry the operational weight so I don’t have to hold it all in my head.
The Honest Truth About Scaling
Can you hit six figures without strong systems? Yes.
But eventually you’ll feel the cracks. You’ll burn out. You’ll drop details. You’ll start feeling overwhelmed in ways that don’t make sense because technically “things are working.”
I said this clearly in the episode:
“I have been able to purchase my freedom because of good systems.”
That’s not hype or branding – that’s reality.
If you want to build a faith-based online coaching business that honors God and actually lasts, start building structure early.
You don’t need to do it all at once, but you do need to start. Because scaling doesn’t mean doing more, it’s about building better.
