Hey girl, hey! If you know me, you know I LOVE SYSTEMS – like seriously, I love them. And I know that might sound funny coming from someone who’s both highly creative and highly analytical. But when you’re a Christian Business Coach, juggling motherhood, content creation, launches, and everything in between, you either build systems or burn out trying to do it all.
Even though I lean creative, I’ve realized that the only way to have freedom in my business is by getting things on repeat. Not because I want to live in a rigid routine, but because I want to focus my energy where it actually matters – on the mission, the message, and the people God has called me to serve.
Whether you’re just starting your online coaching business or you’re trying to scale past six figures, these four systems are essential for running a sustainable, Holy Spirit-led business.
First, You Need to Build Them
I didn’t start my business with fancy workflows or detailed processes. I built everything piece by piece through trial, error, and a whole lot of grace.
Even though I’d had some jobs where systems mattered – like working in retail, ski resorts, or even briefly in corporate banking – I still had to figure it out from scratch in the online space. Over time, I realized how much time I was wasting doing the same tasks repeatedly without documenting or streamlining them.
Once I started building systems for my content, sales, and client delivery, things started clicking – and I was able to scale my Christian coaching business in a way that didn’t cost me my peace.
Let’s talk about the four systems every faith-based entrepreneur needs right now.
System 1: Daily, Weekly & Monthly Checklists
This system creates structure in the most practical way. Instead of waking up wondering what to do each day, you have a clear roadmap for your recurring tasks.
Think things like checking email, following up with clients, billing, reviewing stats, posting content, and more. Your checklist should cover:
- Daily tasks (like checking inboxes)
- Weekly tasks (like prepping content or reviewing revenue)
- Monthly and quarterly tasks (like audits, launches, or planning)
This system helps you move from chaos to clarity. It’s the foundation of how I teach productivity inside my Productivity Playbook – and it’s perfect for Christian women who want structure without hustle.
System 2: Marketing Content System
Let’s talk about visibility. If you’re not consistently putting your message out there, people can’t find you. And if people can’t find you, they can’t buy from you.
That’s why a marketing content system is a must. This system helps you know what to post, when to post it, and how to repurpose it across platforms. For example, I spend about one hour each week recording a podcast episode. That one piece of content turns into:
- A blog post (like this one!)
- An email or two
- Instagram reels and carousels
- Facebook posts
That’s the power of a repeatable content system. You don’t need to be glued to your phone to stay consistent. You just need a process – and possibly a little help from your team – to make it happen.
This system is especially important for Christian Life Coaches who want to show up online without getting overwhelmed.
System 3: Sales System
Marketing brings the people in – but your sales system turns them into clients.
You need a clear, step-by-step process for turning interest into investment. Here’s the thing – sales don’t have to feel pushy or weird, especially when you know you’re operating from a place of service and stewardship. But you do need a process. I teach my students how to do things like:
- Hosting a monthly masterclass or challenge
- Collecting applications
- Offering a call or instant offer
- Walking them through your sales page
- Handling objections and providing clarity
I personally teach launch-based sales systems inside The Selah Collective and Eden the Mastermind, because they work so well for Christian coaches who are either starting out or scaling.
Once your system is documented, you can repeat it and optimize it. That means more revenue, more impact, and less pressure to reinvent the wheel every time you want to bring in new clients.
System 4: Client Onboarding & Delivery System
Once someone joins your program, what happens next?
You don’t need a fancy course portal or hours of video to start – you just need a straightforward process that makes your clients feel seen and supported. This system might include:
- A welcome email with next steps
- A form to gather info
- Calendar access or scheduling links
- Details about group calls, Voxer hours, or community spaces
You just need a clear, smooth onboarding and client delivery system to deliver with confidence – and delegate that delivery to others as you scale.
This system also saves you from answering the same questions 10 times. Everything is outlined, expected, and easy to duplicate – whether you’re bringing on 1 new client or 100.
Why Systems Matter in a Faith-Led Business
God is a God of order. And when we build our businesses with clarity, structure, and intention, we’re not just honoring our own time – we’re stewarding the vision He’s given us.
Without systems, it’s easy to get stuck working in the business instead of on it. That’s where I see so many women plateau – especially around the six-figure mark. They’re delivering nonstop, but haven’t taken time to document what they’re doing or pass it off to someone else.
If you want to scale without burnout, you’ve got to build systems that allow others to step in and serve alongside you.
